Printer drivers – how to install them correctly and why do they affect print quality?

A printer driver is software that allows the computer and printer to communicate correctly. If it is not suitable for the specific model, is not installed correctly, or is outdated, printing problems and issues accessing certain device functions may occur. Therefore, the correct driver is important both for the normal operation of the printer and for print quality.

What are the main types of printer drivers?

Different drivers are designed for different tasks. The appropriate option depends both on the printer model and on the type of documents being printed. The main types include:

  • PCL (Printer Command Language) – developed by Hewlett-Packard and widely used for office printing. It is suitable for text documents and standard graphics where fast processing is required;

  • PostScript (PS) – preferred for graphic design and prepress work because it provides reliable reproduction of fonts, vector images, and complex graphics;

  • PCL6 (PCL XL) – a newer version of PCL with good performance and improved handling of graphic content;

  • Universal Print Driver – designed to work with several compatible printer models using a single driver, making it easier to manage multiple devices.

For standard office tasks, PCL or PCL6 are often a suitable choice. For professional graphics and prepress work, PostScript is generally preferred if the specific printer supports it.

How to install a printer driver?

The driver can be installed automatically by the operating system or manually. When installing manually, the most reliable source is the manufacturer's official website, where you can find the version intended for your specific model and operating system.

Installing from the manufacturer's website

Before downloading, check the exact printer model and operating system version. Then follow these steps:

  1. Identify the exact printer model
    The model designation is usually displayed on the printer's housing, device label, or accompanying documentation.

  2. Open the manufacturer's official website
    Look for a “Support”, “Downloads”, or “Drivers” section and find the page for the relevant model.

  3. Select the operating system
    Select the exact version of Windows, macOS, or Linux, as the available drivers may differ.

  4. Download and install the driver
    Run the downloaded file and follow the instructions provided by the installation program.

  5. Check the printer's operation
    After completing the installation, print a test page. This will allow you to easily determine whether the computer recognizes the printer and whether it is working with the selected settings.

After a successful installation, you should have access to the functions supported by the specific model and selected driver.

Automatic installation by the operating system

Windows and macOS can automatically recognize many printer models when connected via USB or a network and install the necessary software.

This is a convenient option for standard use. However, if the printer has specialized functions, the driver available from the manufacturer's website may provide access to more settings and device features.

How to keep the printer driver up to date?

There is no need to constantly search for new versions. An update is mainly useful when there is a printing problem, when changing or upgrading the operating system, when adding new features, or when the manufacturer recommends a specific version.

For proper maintenance, it is sufficient to follow a few basic rules:

  • download drivers from the manufacturer's official website or use the reliable tools provided by the operating system;

  • check that the selected version matches the exact printer model and operating system;

  • if a problem occurs after an update, check the manufacturer's instructions and, if necessary, reinstall the recommended driver.

If the printer is not recognized, certain settings are missing, or print jobs are not processed correctly, checking the driver is one of the first appropriate steps to take.

The right driver helps you use the printer according to the capabilities intended by the manufacturer, without unnecessary difficulties during everyday operation. A few minutes spent choosing and installing the correct driver can save time and avoid unnecessary configuration later.
