The Toner Cartridge Is Running Out—5 Ways to Get the Most Out of It Before Replacing It

If your printer indicates a low toner level and you need to print urgent documents, there are several ways to temporarily extend the use of the cartridge. You can redistribute the remaining toner by gently shaking the cartridge, use economy mode, print the most important documents first, adjust the print density and check the printer for dirt and debris.

Method 1: Shake the cartridge to redistribute the remaining toner

With prolonged use, the toner inside the cartridge may become unevenly distributed. This can sometimes result in faded areas and streaks on the page, even though there is still toner left in the cartridge. Gently shaking the cartridge may temporarily improve print quality.

Follow these steps:

1. Turn off the printer and carefully remove the cartridge
   Avoid sudden movements and tilting to prevent toner from spilling.

2. Gently shake the cartridge from side to side 5 to 10 times
   The movements should be smooth so that the remaining toner is distributed more evenly inside the cartridge.

3. Reinstall the cartridge and print a test page
   If the print becomes darker and more even, shaking the cartridge has helped temporarily.

Method 2: Switch to economy or draft printing mode

Many printers have a toner-saving mode. In this mode, less toner is applied to the page, which can extend the use of the cartridge. This mode is mainly suitable for internal documents, drafts and text where maximum print density is not required.

Depending on the manufacturer and the software used, the setting may be labelled as: „EconoMode“ or „Toner Save“; „Draft“ or „Fast“; „Toner Saving“; „Low Quality“ or „Fast Print“.

Look for the relevant option in the printer properties or in the settings window immediately before printing. For internal notes, drafts and documents for review, the difference in quality is often barely noticeable, while toner consumption can be reduced significantly. 

Method 3: Prioritise which documents you need to print now

When the cartridge is almost empty, it is a good idea to use the remaining toner for documents that genuinely need to be printed immediately. The rest can be reviewed digitally or postponed until a new cartridge is installed.

Review the documents you need to print and prioritise them according to urgency. This way, the remaining toner is used for documents where a printed copy is genuinely necessary.

• carefully clean any visible dust with a soft, dry cloth without touching the drum;

• check that the paper you are using is not damp and is suitable for the specific printer;

• make sure the cartridge is installed correctly and its contact areas are clean.

If the problem is caused by dirt or an incorrectly installed cartridge, this check may restore normal print quality without requiring immediate replacement.

When do these methods stop helping? 

The steps described above can temporarily extend the use of the cartridge, but they cannot replace it once the toner is actually depleted. Several signs indicate that it is time for a new cartridge:

1. The print remains faded or streaky after shaking the cartridge and adjusting the density
   If the quality does not improve, the remaining amount of toner is probably no longer sufficient for normal printing.

2. Grey spots or recurring defects appear on the pages
   When defects appear repeatedly in the same places, the cause may be related to the condition of the cartridge rather than just the amount of toner remaining.
